Our Accessibility department strives to ensure everyone can attend and fully enjoy Super MAGFest, no matter the hurdle. Our team of volunteers is here to help! Before the event each year, leadership work behind the scenes to answer attendee, guest, and staff questions; make arrangements; and coordinate with other Super MAGFest departments. During the event, many additional volunteers join the team to help staff the Accessibility desk and our Quiet Room.

People with disabilities or accommodation needs are central to what our Accessibility department does. Our volunteers’ help is certainly not limited to these categories, though! We love MAGFest and want to help you love it as well!

FAQs

Do you provide wheelchairs at the event?

We have manual wheelchairs available to check out for free at our desk out front of Registration Hall E. Historically, our vendor has provided a Drive Cruiser self-propelled wheelchair. This weighs in around 38 pounds with a 20-inch seat, swing-away footrests, and has a 350 pound capacity.


Do you provide ASL interpreting services?

Yes. Email accessibility@magfest.org to learn more. ASL interpreter requests should be submitted by December 30, 2024. Requests may be made after that date, but may be subject to interpreter availability. Thank you for understanding.


Do you have a quiet room?

Yes! The quiet room is open and staffed from sunup to midnight. It has calming activities as well as sensory toys and white noise machine to help decompress from the rest of the festival.


Are service animals permitted in the event?

Service animals that meet the ADA definition are permitted. Service animals are defined as dogs that are individually trained to do work or perform tasks for people with disabilities. Emotional support animals are not permitted at our event.


Can I bring my cane?

Yes. Both standard and folding seat canes are permitted in all areas of the festival.


Is there accessible parking?

Yes, both in the Gaylord parking areas and the surrounding area. Super MAGFest is a very large event, however, so parking availability may be limited. The Gaylord staff handles ALL parking management at the venue. Contact them with any specific questions or for more information.

How do I book an accessible hotel room?

Good news! Nearly all special requests can be handled via the usual hotel booking system! ADA rooms and requests such as being on a low floor, near an elevator, or with a roll-in shower should all be handled using the lottery and subsequent standard booking system. MAGFest partners with many hotels in the vicinity and works with each to ensure these requests are honored. Hotel information can be found at https://super.magfest.org/hotel-info . Should you be unsuccessful in the initial lottery, continue to search in the days and weeks following! Plenty of rooms continue to become available after the initial early bird lottery. No, seriously. They do.

What’s the deadline for requesting accommodations from your department?

  • Requests that require coordination and planning - 10/31/24, though we will absolutely try to assist after this date, should it be possible.

  • General inquiries - 1/18/25

  • At-event  - we are available at our desk in front of Registration Hall E.


Are there accessible and gender-neutral restrooms available?

Yes, multiple locations throughout the event space. Consult the map for locations or reach out to us. Accessible and gender neutral bathrooms will be marked with additional signage at event.

I have a nursing child, is there anywhere I can go?

The Gaylord National Harbor has a nursing room behind their concierge desk, across the hall from the bathrooms available for use. Ask the front desk for more information upon arrival since this is their space. 


I have difficulty standing in line. do you offer any accommodations for me to enjoy the festival?

Yes! Check in with us at the accessibility desk during our hours of operation and we can coordinate use of a seat while waiting in queues. There is no preferred line placement anywhere at MAGFest. 

At the event, how do I contact your department?

Our Accessibility desk is available in front of Registration Hall E throughout the event, save for overnights.  We also have a hotline! (844) 624-4311 is available for voice calls anytime our desk is open. You can text that number throughout the event as well. We’re here to help!

Should I email the Accessibility department if I’m a volunteer who needs accommodations?

Sure. We can assist in ensuring your needs are met by working along with Staff Operations and any other relevant departments.


Can you help accommodate any specific needs not listed here? 

We aim to help accommodate as many people as possible. Resources may be limited, depending on the nature of your individual needs. We ask for your patience and understanding throughout the process. It is best practice to have alternate plans in place should we be unable to meet your request. Our goal is to help as many people as we possibly can!
